How we collect, use, and protect your information
TEKRAM ("we", "our", "us") is an Australian-hosted platform for managing the allocation of physical space — applications, bookings, payments, compliance documents, communications and site allocation. It is used by market operators, agricultural show societies, councils and venue managers, festival and event organisers, caravan and holiday parks, exhibition organisers and similar operators who allocate numbered spaces to people who book them.
TEKRAM is owned and built by Gravity Projex, a digital marketing and web development business. TEKRAM and Gravity Projex are registered business names of the same sole trader, operating from South East Queensland under a single Australian Business Number. Both business names therefore share one legal entity, and that entity is the party responsible for the personal information described in this policy.
We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Two very different groups of people appear in this policy, and different parts apply to each. Throughout this policy:
If you are an Applicant, the most important sections for you are 3(c), 8, 9 and 12. In short: the Operator you applied to is the organisation responsible for your information, and TEKRAM holds it on their behalf. Section 12 explains where to send access, correction and deletion requests.
This policy applies when you visit our website, create or use an account, purchase a subscription, apply to or participate in an event running on the platform, or contact us for support or sales.
You are not obliged to give us personal information. If you choose not to, we may be unable to provide the platform to you, process a subscription, or allow an Operator to assess your application to their event.
Personal information is information or an opinion about someone who is identified, or who could reasonably be worked out from it. It does not have to be written down, and it does not have to be correct.
Sensitive information is a category of personal information that the Privacy Act protects more strictly. It includes information about health, criminal record, racial or ethnic origin, religious or philosophical beliefs, political opinions or memberships, sexual orientation, trade union or professional association membership, and biometric data. Sensitive information generally cannot be collected without consent.
As an Operator, you may upload or collect personal information relating to your Applicants ("End-User Data").
TEKRAM holds this data on behalf of the client and acts only on their instructions. Where TEKRAM holds End-User Data, it remains subject to the Australian Privacy Principles in TEKRAM's hands.
In practice this means:
The terms "data controller" and "data processor" are sometimes used to describe this split. They come from the European GDPR rather than Australian law, and we use them descriptively only. Under the Privacy Act 1988 (Cth) there is no processor exemption — because TEKRAM holds End-User Data, TEKRAM carries its own obligations under the Australian Privacy Principles in respect of that data, alongside yours.
End-User Data may include compliance documents such as public liability insurance certificates, food safety registrations and Blue Card details, and may include incident reports describing something that occurred at an event. Some of this is sensitive information under the Privacy Act. We handle it only to provide the platform, restrict access to it, and never use it for any other purpose.
Where sensitive information is collected through the platform, the Operator is responsible for obtaining the consent required under Australian Privacy Principle 3.3 and for collecting only what is reasonably necessary for their event, venue or site. TEKRAM does not request sensitive information about Applicants for its own purposes.
The Operator decides what its own form asks for, so the exact fields vary considerably between a market, a showground, a council venue, a caravan park and an exhibition. Depending on the Operator, a form powered by TEKRAM may ask for:
The Operator you applied to determines what happens with this information. TEKRAM stores it and secures it for them.
If you provide us with personal information about someone else — for example an Operator adding staff accounts, or importing an existing stallholder, hirer or site holder list into the platform — you confirm that you are entitled to provide it, and that the person has consented or would reasonably expect it to be handled as described in this policy. Please make sure they know where their information has gone.
We use personal information to:
We may produce statistics and insights from platform activity — for example how many applications a typical operator receives, or which features are used most — to understand how the platform performs and to improve it. This information is aggregated and de-identified first, so that individuals and individual businesses cannot be identified from it, and it is not reassembled or matched back to anyone afterwards. Identifiable End-User Data is never used for this purpose.
Payments are processed via secure third-party payment providers. We do not store full payment card details.
We may share information with trusted service providers for hosting, payments, analytics and communications. We do not sell personal information, and we do not disclose it for third-party advertising.

We may also disclose personal information to our contractors and professional advisers where they need it to do their work, and to courts, tribunals, regulators and law enforcement where required or authorised by law, including in connection with actual or prospective legal proceedings or to establish or defend our legal rights.
Where information is disclosed to an overseas recipient, we take reasonable steps under Australian Privacy Principle 8 to ensure it is handled consistently with the Australian Privacy Principles. We may also disclose information to protect the rights, safety or property of TEKRAM, our customers or others.
If TEKRAM, or the business operating it, is sold, restructured, merged or transferred in whole or in part, personal information may be transferred to the incoming owner as part of that transaction, so the platform can keep running without interruption. Any recipient would be required to handle the information in accordance with the Australian Privacy Principles and on terms no less protective than this policy. We would notify active account holders before any such transfer takes effect.
TEKRAM applies information security practices aligned with recognised industry standards, including principles consistent with ISO/IEC 27001, without claiming formal certification. These practices include:
The Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988 (Cth) applies to eligible data breaches that are likely to result in serious harm. TEKRAM maintains a data breach response plan and complies with the scheme.
If a breach affects information held on the TEKRAM platform:
When information is no longer required, we take reasonable steps to destroy or de-identify it securely.
Your data belongs to you. You can export your records — including Applicant details, applications, bookings and transaction history — from your TEKRAM dashboard at any time while your account is active. You do not need to ask us, and there is no charge.
If your subscription is cancelled or your agreement with TEKRAM ends:
Our public website uses cookies and similar technologies to keep the site working and to understand how it is used. These fall into two groups:
You can block or delete cookies through your browser settings. Blocking essential cookies will stop parts of the platform working. We do not use cookies for third-party advertising and we do not sell data collected through them.
Service messages — billing notices, security alerts, system updates and support replies — are part of your subscription and are sent whether or not you have opted in to marketing.
Sales and promotional emails are sent only where you have opted in or where we have an existing business relationship with you. Every commercial message includes a working unsubscribe link, in accordance with the Spam Act 2003 (Cth). Unsubscribing from marketing does not stop service messages about your account.
Where you use TEKRAM to send messages to your own Applicants, you are the sender of those messages and are responsible for complying with the Spam Act, including consent and unsubscribe requirements.

If you applied to a market, show, venue, park, event or exhibition that uses TEKRAM, your information is held on behalf of that Operator, and they are the party responsible for it. Requests to access, correct or delete that information should be directed to the Operator you applied to.
If you contact TEKRAM instead, we will refer your request to the relevant operator and let you know that we have done so. We will assist them to respond, but we will not release, amend or delete their records at the request of a third party.
You may deal with us anonymously or under a pseudonym where it is lawful and practicable — for example a general sales or product enquiry. This is not practicable for account creation, billing, or platform support, where we need to identify the account involved.
The platform and our website may link to sites we do not operate — an Operator's own website, a venue, a council permit page, or a payment provider. We have no control over those sites and are not responsible for how they handle your information. This policy does not apply to them, so please read their own privacy policies before providing personal information.
We may update this Privacy Policy from time to time. The current version is always published on this page with a revised "Last Updated" date. Where changes are material, we will notify active account holders at least 14 days before they take effect.
