Annuals and long-stay holders invoiced once a month against a held site. Amperage counted as a real pool. Sites allocated by length. Insurance chased on its own. This is not a replacement for your booking engine — it is the part your booking engine was never built for.
Sound familiar?
Your park management system handles the tourist side beautifully and treats an annual like a 365-night booking, so you gave up and moved the permanents into a spreadsheet. Site fees arrive as bank transfers with no reference. Nobody is quite sure whose public liability has lapsed. The amperage board is a matter of local knowledge. And when someone upgrades to a bigger van, you find out whether it fits by watching them try to reverse it in.
Your words, our screens
Your portal is configured to your park at setup. Your site holders never see stallholder terminology.
| In your park | In TEKRAM |
|---|---|
| Annual and permanent site holders | Permanent holders with a held site, discounted rate and one monthly invoice |
| Site classes — powered, ensuite, drive-through | Space types, each with its own quantity, rate and visibility switch |
| A 12m van will not fit an 8m site | Frontage-based fit validation — the booking is refused, not corrected later |
| 15A and 10A outlets on the board | Add-on stock counted as a finite pool, so power cannot be oversold |
| Public liability for annuals | Compliance documents with automatic expiry chasing and booking blocks |
| The whiteboard of site numbers | Live allocation with clash detection |
| Bank transfers with no reference | Card payment into your own account, reconciled against the invoice automatically |
| Peak season waiting list | A queue that offers the next freed site on its own, in order |
What it does for you
Annual and long-stay holders are booked a month at a time as one linked batch sharing a single invoice, a single due date, their held site and their discounted rate. They see one summary email and one Pay all button — not one message per period.
Miss the due date and the reminder goes out on its own. Seven days later the held site and the discount release back to general availability, automatically and reversibly. When the late payment arrives, restore it in one click and everything reapplies.
Record what each site actually is — frontage, class, amperage — and the system refuses a booking that will not fit. A 15A connection takes one from the board’s real pool. You cannot sell power you do not have.
Long-stay holders upload their own certificates. Expiring and expired notices go out on a daily schedule to them and to you. Turn on booking blocks and a holder without current cover cannot renew until it is sorted.
Card payments land in your own Stripe account on your own payout schedule. TEKRAM never holds, receives or handles your money, and never takes a percentage of a site fee. Cash and transfer are recorded with a full audit trail.
Revenue and expenses recorded against sites and periods, GST split, exportable for your bookkeeper. The number at the bottom accounts for discounts, credits and the cost of the sites you are holding.
Read this before you enquire
We would rather lose the enquiry than waste your afternoon.
Most parks run TEKRAM for the permanent register and keep their existing system for tourists. The two populations barely overlap: one is a nightly booking funnel, the other is closer to a tenancy.
If you are a council-run park, a showground with camping, or a club rally ground where there is no tourist funnel at all, TEKRAM may well be the only system you need.
Multi-night consecutive stays and seasonal rate tables are being built. Today the platform books by period rather than by night, which suits annuals and long-stays but not a two-week holiday booking.
Bond and deposit handling, and pro-rata billing for a mid-month start, are on the same roadmap. If any of those are dealbreakers, say so early and we will tell you honestly where we are up to.
Parks do not measure usage in event dates per month, so our published tiers will not map cleanly to how you operate. Pricing is based on the number of sites under management and how many staff need portal access.
Every engagement includes configuration of your site classes, rates, amperage and add-on stock, migration of your existing annual register, and a written operations manual for your team. Tell us how many permanent sites you run and we will quote against that.
Tell us how your permanent sites are managed now and we will show you what next month’s invoicing looks like.
