Show societies & field days

Your show runs one weekend.
The admin runs all year.

Trade sites, food vendors, sideshow alley, entertainers and community groups — each applying differently, each needing different frontage, power and paperwork. TEKRAM takes the applications, chases the certificates, allocates the ground, invoices everyone and hands your treasurer a clean set of numbers.

We’ve seen how
most shows are run

Most show societies run on a spreadsheet that one person understands, an email inbox nobody else can see, and a lever arch folder of certificates that gets checked the week before. The trade site map is drawn in pencil. Payments arrive by bank transfer with no reference. And the person who knows how it all works has been doing it for eleven years and is quietly thinking about stopping.

Nothing here is
market jargon

Your portal is configured to your show at setup. The labels are yours.

In your show In TEKRAM
Trade site holders, food vendors, sideshow operators Separate application streams, each with its own review queue
Site frontage in metres Multi-unit footprints — a 12m trade site consumes four 3m spaces
Power boards on the ground Add-on stock, counted as outlets so it cannot be oversold
Certificates of currency Compliance documents with automatic expiry chasing
Annual trade site holders Permanent holders with a held site and grouped invoicing
The pencil site map Drag-and-drop allocation that refuses a site which will not fit
The treasurer’s shoebox Revenue and expense per event, GST-split, Xero-ready

Built for the parts
that actually hurt

Every applicant in their own queue

Trade sites, food vendors, entertainers, community groups and charities each get their own intake stream and their own review tab. A busker and a machinery dealer never land in the same pile.

Capacity that matches your actual ground

Set your total 3m×3m spaces and your permitted headcount as two separate numbers. A 12m trade site takes four spaces. You cannot oversell ground and you cannot breach your permit.

Certificates that cannot quietly lapse

Exhibitors upload their own certificate of currency. Expiry notices go out on a daily schedule to them and to you. Turn on booking blocks and an uninsured trader simply cannot book.

Allocation without the pencil map

Every confirmed booking on one screen with its frontage and power. Put two exhibitors on the same site and it names them both and refuses to send allocation emails until it is resolved.

Money into your account, not ours

Card payments land in your own Stripe account on your own payout schedule. TEKRAM never touches your money and never takes a percentage of a site fee.

What the show actually made

Log gate takings, sponsorship and stall income against the event, and record permits, wages and hire against it too. Net profit excluding GST, not just turnover.

Your showground works fifty other weekends

Pony club on Tuesdays. The caravan club rally in March. The dog show, the campdraft, the wedding in the pavilion.

Same platform, same insurance checks, same invoicing. Set your showground up as a venue and the recurring hirers manage themselves between shows — which is usually where the quiet revenue leak is.

Built for committees, not corporations

Your treasurer changes every few years. Your site plan lives in someone’s head. The handover is a USB stick and a phone call.

Every TEKRAM operator gets a written operations manual built for their own show — every process, every screen, every email, kept current as the platform grows. The next secretary trains themselves instead of inheriting a mystery.

What it costs

Plans start at the Basic tier and scale by the number of grounds you run, event dates per month and active exhibitors. Every plan includes a one-off setup where we configure your show, your site types, your pricing and your application forms, migrate your existing exhibitor list, and write your operations manual.

Single-show societies and multi-event showgrounds have very different usage patterns, so it is worth a conversation rather than a guess. See current pricing or ask us what your show would sit on.

One less thing for the committee

Tell us about your show and we’ll show you what next year’s admin looks like without the spreadsheet.
